ASK US

  • Which software do you work in?

We work inside the systems contractors already use for estimating, billing, project management, and imaging rather than forcing an expensive switch. If your current setup is creating the bottleneck, we say so early instead of quietly building workarounds around it.

  • Do we have to sign up for everything you offer?

No. Some clients send one Xactimate report a month, others hand over the entire back office from intake through closeout. Start with the piece causing the most pain and add services later, once you see how the handoff works.

  • How fast can you take over billing on a job already running?

Usually within a single billing cycle. We need the contract, the schedule of values, prior pay applications, and any approved change orders, and then the next application goes out on time and in the exact format the owner expects.

  • Do you replace our project manager or support one?

Either works, and both happen. Some contractors have nobody running coordination and need us handling it outright. Others already have a project manager buried in paperwork who needs the administrative half lifted so the field side finally gets real attention.

  • Who do you help besides general contractors?

Roofers, remodelers, builders, restoration companies, property managers, and real estate professionals all use the same back office. The paperwork behind a reroof, a water loss, and a rental turnover looks far more alike than most people would expect.

  • How do you keep our job records secure?

Records live in organized digital storage with access limited to the people who genuinely need it. Nothing gets stored loose on a desk or scattered across personal phones, and you keep full access to every one of your own files throughout.

  • What do you need from us every week?

Less than most contractors expect. Field notes, signed approvals, receipts, and a heads up when scope changes on a job. We chase down the rest ourselves rather than sending a list of questions you have to answer between site visits.

  • Will our numbers make more sense once you take over?

That is the whole point of the handoff. When billing, change orders, and job records are captured consistently, you can see which jobs earn and which ones bleed, rather than finding out months later when the bank balance tells the story.

  • How do you handle busy season and slow season?

Capacity flexes with your workload instead of a fixed schedule. Summer might mean weekly billing across six active jobs, and winter might mean cleanup, closeouts, and getting documentation current before the next building season starts pushing hard against you again.

  • What happens during onboarding?

We start with a conversation about where the business hurts most, gather contracts, open jobs, and whatever records exist, then set a firm schedule for billing and reporting. Most contractors see their first deliverable inside the first billing cycle.

  • Can you support more than one crew or division at once?

Yes. Multiple crews, multiple job numbers, and separate divisions can all run side by side as long as each carries its own records. Lady Ledgers handles that kind of volume regularly for contractors working around Mortons Gap, KY.

  • Do you communicate directly with our subs and suppliers?

When you want us to, and many clients do. Chasing certificates of insurance, W-9 forms, lien waivers, and missing invoices is routine work for us, and it frees your day from phone calls that never reach the right person.

  • What usually gets fixed first for a contractor in trouble?

Billing, almost every time. Money that was earned but never invoiced is the fastest problem to solve and the one that changes the mood of an entire business inside a month. Documentation and coordination follow right behind it.

  • Do you handle insurance restoration work as well as standard construction?

Both sit side by side here. Restoration jobs run on estimates, scans, and carrier documentation, while standard construction runs on contracts and pay applications, and Lady Ledgers keeps both sides moving for the crews based around Mortons Gap, KY.

  • How do we know the handoff will not create more work for us?

Because we take work away rather than adding process on top of it. You keep building and approving, we handle preparing and chasing, and the only thing landing back on your desk is something that genuinely needs your signature.
